Privacy Policy

This Privacy Policy explains how WE Interactive Pte. Ltd. collects, uses, discloses, and protects personal data in connection with Beacon.

1. Introduction

WE Interactive Pte. Ltd. (“WE Interactive”, “we”, “us”, or “our”) respects your privacy and is committed to handling personal data responsibly and in accordance with applicable data protection laws, including Singapore’s Personal Data Protection Act (the “PDPA”).

This Policy applies to personal data we collect through the Beacon platform, our websites, and the maintenance and support services we provide (the “Services”). It should be read together with our Terms and Conditions.

2. Personal Data We Collect

We collect the following categories of personal data:

  • Account data — name, work email, role, company, and login credentials.
  • Billing data — billing contact details, billing address, GST and tax-related information, payment method details, invoice references, and payment records.
  • Support and operational data — support requests, descriptions, attachments, comments, status updates, time logs, and approvals submitted through the platform.
  • Agreement acceptance records — name, role, email, IP address, user agent, and timestamp recorded when accepting a digital agreement.
  • Technical and usage data — IP address, device type, browser, log data, and information about how the platform is used.
  • Communications data — emails, in-app messages, and notifications exchanged with us.

3. How We Collect Personal Data

We collect personal data:

  • directly from you when you register, subscribe, accept an agreement, submit a support request, or contact us;
  • automatically through your use of the platform (for example, log files and cookies);
  • from authorised representatives within your organisation; and
  • from service providers that support our operations, such as payment processors and communication tools.

4. Purposes of Use

We use personal data to:

  • provide, operate, and maintain the Services;
  • onboard new clients and manage subscriptions and renewals;
  • process billing, invoicing, payments, and tax records;
  • record and manage digital agreement acceptance;
  • receive, triage, and resolve support requests;
  • track support hours, add-on hour usage, and approvals;
  • send operational notifications and service communications;
  • maintain security, prevent fraud, and protect our legal rights; and
  • comply with applicable legal and regulatory obligations.

5. Cookies and Similar Technologies

We use cookies and similar technologies to keep you signed in, remember preferences, secure the platform, and understand how it is used. You can adjust your browser settings to refuse certain cookies, but some parts of the Services may not function properly if you do.

6. Disclosures to Service Providers

We may share personal data with trusted third parties that help us deliver the Services, such as cloud hosting providers, database and infrastructure providers, payment processors, email and notification providers, and analytics or monitoring tools. These providers are only permitted to use personal data to perform services on our behalf and are bound by appropriate confidentiality and data protection obligations.

We may also disclose personal data where required by law, regulatory authority, or court order, or where necessary to protect our rights, the rights of our clients, or the security and integrity of the Services.

7. International Transfers

Some of our service providers may store or process personal data outside Singapore. Where this occurs, we take reasonable steps to ensure that the recipient provides a standard of protection comparable to that required under the PDPA, including through contractual safeguards.

8. Retention

We retain personal data only for as long as it is needed for the purposes set out in this Policy, or for any longer period required or permitted by law (for example, for tax, accounting, or audit purposes). When personal data is no longer required, we will take reasonable steps to delete or anonymise it.

9. Security

We implement reasonable administrative, technical, and organisational measures to protect personal data against unauthorised access, disclosure, alteration, and loss. While we work to maintain a secure platform, no method of transmission over the internet or electronic storage is fully secure, and we cannot guarantee absolute security.

10. Your Rights

Subject to applicable law, you may request to access or correct the personal data we hold about you, withdraw consent for specific uses, or ask us to delete personal data where we are not required to retain it. Requests can be sent to our Data Protection Officer using the details in Section 16. We will respond within the timeframes required by applicable law.

11. Marketing Communications

The Services are primarily operational in nature, and most communications you receive from the platform relate directly to your account, agreements, billing, or support requests. Where we send optional marketing communications, you may opt out at any time using the unsubscribe link in those emails or by contacting us.

12. Children

The Services are intended for use by businesses and organisations and are not directed to children. We do not knowingly collect personal data from individuals under the age of 18. If you believe a child has provided personal data to us, please contact us so we can take appropriate action.

13. Third-Party Services

The platform may link to or integrate with third-party services. This Policy does not apply to personal data collected by those third parties, which is governed by their own privacy policies. We encourage you to review the privacy practices of any third-party service you use in connection with the Services.

14. Data Breach Response

We maintain procedures to detect, investigate, and respond to suspected personal data breaches. Where a notifiable breach occurs, we will notify the relevant authority and affected individuals in accordance with applicable law.

15. Individuals in the EU / EEA (GDPR-Aware Notice)

WE Interactive is established in Singapore. To the extent we offer goods or services to individuals located in the European Union or European Economic Area, or monitor their behaviour in those regions, additional obligations under the EU General Data Protection Regulation (the “GDPR”) may apply. In such cases, individuals may have additional rights including the right to object to processing, the right to data portability, and the right to lodge a complaint with a supervisory authority. 16. Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in our practices, technology, or legal requirements. The “Last updated” date at the top indicates when the Policy was last revised. Where changes are material, we will notify you through the platform or by email.
